Estate Planning Secretary (Dallas)

We are currently seeking candidates for a Legal Secretary with a background in wills, trusts, and estate planning for our Dallas, Texas, office. Details are as follows:

Position Responsibilities may include, but are not necessarily limited to the following:

  • Supporting the Estate Planning Director (Partner) with drafting, preparation, and filing of pertinent documents;
  • Perform relevant legal research;
  • Extensive typing and editing;
  • Maintaining organization of large numbers of documents.

Job Requirements:

  • Bachelor’s degree or equivalent job-related experience required;
  • At least one (1) year of experience as an estate planning secretary preferred;
  • Advanced Microsoft Word and Word Perfect skills are preferred;
  • Excellent typing and editing skills required;
  • Experience working with NetDocs or other document management system strongly preferred;
  • Excellent, organizational, communication, analytical and critical thinking skills;
  • Ability to work independently, plan and take initiative to accomplish objectives in a timely manner with minimum supervision;
  • Must be a team player while effectively and efficiently using firm resources;
  • This is a sedentary position and requires minimal standing, walking, stooping and movement or lifting of items up to 10 pounds.

Real Estate/Public Finance Paralegal (Houston)

Coats Rose, PC, is currently seeking candidates for a Real Estate/Public Finance Paralegal for our Houston, Texas office. Details are as follows:

Position Responsibilities may include, but are not necessarily limited to the following:Assist attorneys with drafting, preparation, and filing of pertinent documents;

  • Perform relevant legal research;
  • Attend Municipal Utility District Board of Directors(“Board”) meetings and record minutes (sometimes during evening or lunch hours);
  • Prepare agendas for Board meetings;
  • Ensure proper legal procedures are followed at Board meetings;
  • Stay up to date on relevant rules and legislation and inform Board of updates;
  • Assist Board with insurance renewals;
  • Prepare documents for annual tax exemptions and assess collection charges on delinquent accounts;
  • Review annual financial report and file with appropriate agencies;
  • Assist with annual setting of tax rate;
  • Assist with annual operating budget of the District if needed;
  • Keep track of filing requirements; and
  • Other job related duties as assigned.

Job Requirements:

  • Bachelor’s degree and paralegal certificate, or equivalent job-related experience preferred;
  • At least one year of experience as a transactional real estate paralegal, preferably with experience in public finance;
  • Excellent, organizational, communication, analytical and critical thinking skills;
  • Ability to work independently, plan and take initiative to accomplish objectives in a timely manner with minimum supervision;
  • Must be a team player while effectively and efficiently using firm resources;
  • This is a sedentary position and requires minimal standing, walking, stooping and movement or lifting of items up to 10 pounds;
  • This job may require overtime, evening hours, and working through lunch to attend utility district meetings; and
  • Reliable personal transportation for traveling to and from Board meetings.

Real Estate/Affordable Housing Paralegal (Austin)

Coats Rose, PC, is currently seeking candidates for a Real Estate/Affordable Housing Paralegal for our Austin, Texas office. Details are as follows:

This position is responsible for assisting with the preparation and review of documents related to the authorization, issuance, and delivery of multi-housing revenue bonds, including, but not limited to:

  • Prepare and file applications for volume cap with the Texas Bond Review Board along with all other subsequent filings;
  • Draft resolutions for the issuing entity of the bonds;
  • Draft TEFRA notices and coordinate publication of same;
  • Draft closing documents and coordinate execution of same;
  • Prepare and file transcripts with the Attorney General for their review/approval and coordinate all subsequent filings;
  • Manage all documents leading up to, and following, closing;
  • Maintain tracking schedules for each transaction and update the group calendar;
  • Prepare closing transcripts on CDs; and
  • Other job-related duties as assigned.

Job Requirements:

  • Bachelor’s degree and paralegal certificate, or equivalent job-related experience required;
  • At least three (3) years of experience as a transactional commercial real estate paralegal; strong preference for candidates with experience in public housing revenue bonds or municipal bonds;
  • Ability to thrive in a “hands on”, fast paced environment;
  • Ability to take ownership of workflow, work independently, plan and take initiative to accomplish objectives in a timely manner with minimum supervision;
  • Excellent, organizational, communication, analytical and critical thinking skills; and
  • Ability to work overtime as needed.
